Overview & Responsibilities
Position Summary: Provide administrative support for Sales Department, including but not limited to sales events, training classes, sales directors and counselors and other sales management.
Essential Job Functions: Must be able to perform the essential functions of the job with or without reasonable accommodations.
Provide administrative support and coordination for various sales events.
Ensure that all internal documents are available and order reprints as needed.
Responsible for all minor office responsibilities such as copies, scanning, filing, mailing of documents, creating power point presentations.
Prepare documents for customers timely and efficiently and send out in a timely manner.
Consistently ensure that all rooms utilize to meet with pre need families are clean and presentable.
Operate the fax machine, PC, multi-line phone console, order & stock supplies, and perform housekeeping duties.
Process and calculate counselor mileage reimbursement reports timely and accurately.
Process and calculate counselor expense reports timely and accurately.
Provide administrative support to the Training Manager to ensure that all supplies for training classes are completed prior to the start of class.
Notify Maintenance for equipment/machine maintenance, repair, or replacement according to the maintenance schedule.
Display a professional manner and communicate effectively verbally and in writing with all levels within the Department.
Demonstrate emotional maturity and a positive attitude; avoid rumors, gossip, and negative distractions.
Answer Sales Department phones, check voicemails, maintain interoffice files, maintain calendars, and accurately enter data into online programs.
Provide back up support for other administrative assistants as needed.
At an Intermediate level, use Excel to create a variety of spreadsheets and documents.
At an Intermediate level, use PowerPoint to create a variety of presentations.
Prepare reports, sales call lists, awards, certificates, flyers, and other documents as needed.
Demonstrate high level of confidentiality, common sense, judgment, and sense of urgency; and ability to set priorities.
Adhere to Company policies, procedures, rules, and controls; demonstrate support and respect for Company management.
Adhere to safety rules and regulations, and report unsafe practices to management.
Act on customer complaints to provide satisfactory resolution.
Understand and achieve annual SMART goals.
Participate in training and skill development opportunities to improve competency and customer service.
Report to work on time and maintain standard attendance.
Other duties as assigned by management.
Requirements & Qualifications
Experience and Education:
Minimum of five years’ office administration experience
A.A. degree preferred
MS Office software with Intermediate skill in Word, Excel, and PowerPoint
Excellent Outlook skills
CA Drivers’ License
Safely drive Company vehicles
HMIS and Property Reservation System
Communicate clearly and accurately with all levels of the Company
High level of compassion and integrity
Problem solving and detail-minded
Good multitasking skills
Bilingual Chinese Speaking Preferred
